We are seeking a highly organised and detail‑driven PA / Administrator to join a well‑established professional services business based in Dunedin. This is a full‑time (30 hours a week), permanent position supporting day‑to‑day office operations and providing essential administrative and reporting support.
This role will suit someone who genuinely enjoys accurate, structured work and takes pride in producing high‑quality written documents.
About the Role
In this position, you'll be responsible for end‑to‑end administrative support, with a strong focus on typing, word processing, and document preparation. Accuracy, speed, and consistency are critical to success in this role.
This is an in-office role, Monday to Friday 8.30am - 3pm.
Key Responsibilities
- Managing emails throughout the day and actioning correspondence
- Setting up new jobs, including allocating job numbers and creating paper and digital files
- Managing inspection and client appointments across internal diaries and external platforms
- Downloading, organising, and filing inspection photographs
- Transcribing handwritten notes into report templates with a high level of accuracy
- Formatting documents, inserting images, and sourcing supporting information (rates, titles, etc.)
- Preparing final reports, converting to PDF, and emailing reports and invoices to clients
- General office housekeeping including stationery management
- Scanning, filing, and maintaining accurate digital records
About You
- Proven experience in a PA, administration, or office support role
- Exceptional typing skills - both speed and accuracy are essential
- Strong word‑processing and document‑formatting capability
- High attention to detail and pride in producing error‑free work
- Confident using Microsoft Office and electronic filing systems
- Excellent organisational and time‑management skills
- Professional written and verbal communication
- Trustworthy, reliable, and comfortable handling confidential information
