The Role
The administrator is responsible for providing administrative support to the plumbing operations & finance team, ensuring efficient coordination of jobs, customer communications, and office processes. This role requires strong organisational skills, attention to detail, and the ability to manage a high volume of emails, phone calls, and scheduling tasks in a fast-paced environment. Depending on applicant there could be growth into other positions

Key Responsibilities
• Manage incoming phone calls, emails, and general office correspondence.
• Schedule plumbing maintenance, service & installation jobs on Simpro System
• Liaise with customers, suppliers and subcontractors
• Monitor job progress and support technicians with administrative requirements.
• Escalate urgent customer concerns to the appropriate team members when required
• Maintain accurate job records and customer databases.
• Coordinate ordering of stocked materials and supplier communications.
• Complete compliance documentation for gas, backflow testing & council consents.
• Assist with Health & Safety documentation and compliance requirements
• Provide supplier purchase orders when requested & provide report of open sales
• Provide general administrative support to management, operational and financial teams.

Skills and Experience
• Previous experience in an administration, customer services
• Experience in the plumbing, trades, construction, or maintenance industry would be an advantage but not a necessity.
• Strong computer skills, including Microsoft Outlook, Excel and job management system
• Excellent communication and customer service skills.
• Strong organisational, time management and multitasking abilities.
• Ability to prioritise tasks and work effectively under pressure
• High level of accuracy and attention to detail
• Ability to work independently and as part of a team
