About the Role:
As the first point of contact for families and visitors, you'll play a key role in creating a warm and welcoming experience while supporting the smooth day-to-day operation of the centre.
Working closely with the Centre Manager, you'll manage a variety of administrative responsibilities, including enrolments, parent accounts, bookings, communications, and compliance requirements. This is a varied role where no two days are the same, and from time to time you'll also have opportunities to support our tamariki in the classroom.
This is a role for someone who enjoys solving problems, building strong relationships and making systems and processes work better. You'll bring experience, initiative and a practical approach, helping our service deliver a consistently high standard of administration and parent, whanau and caregiver support.
This is a permanent position working 30 hours per week, Monday to Friday, from 7.00am – 1.30pm.
This role is based in an early childhood learning service in Levin, Manawatu.

What you'll be doing
This is a varied role where no two days are quite the same.
Your work will include:
• Working alongside the Centre Manager across a wide range of administrative matters.
• Identifying opportunities to improve systems, processes and ways of working.
• Supporting revenue assurance through strong enrolment administration and sound administrative practices.
• Helping our service get the best from the systems and technology they use every day.
• Working collaboratively with our Head Office support team to provide seamless support to drive results across the business.
• Coordinating administration within a large service and support organisation.
• Improving systems, processes and administrative practices.
• Working with business systems and using technology to improve efficiency.
• Welcoming visitors from our community into our centre and providing support where needed.
• Additional operational tasks, such as filing, letter typing, notices, that come up will be part of the role.
• Communicating absences and imputing these to ensure online records are correct.
Key tasks are to ensure:
• Teacher's times sheets and recording of their work activities is accurate, recorded and signed for.
• The children’s enrolment bookings and attendance are accurate, recorded and signed for.
• Enquires are welcomed, responded to, followed up.
• Answering phone calls, replying to emails and providing customer service to our families.
• Record keeping on our administration software package matches the paper documentation.
• Working alongside the Head Office support team to follow up debtors and fees have been paid.
• The operational record keeping is checked, followed up and corrected where needed, and filed.
