Job Title: Office Administrator Location: Three Kings, Auckland Firm Type: Chartered Accountant Firm
Role Overview We are seeking a reliable and well-organised Office Administrator to support the day-to-day operations of our Chartered Accountant firm in Three Kings, Auckland. This role is central to ensuring smooth office administration, client coordination, and support to accounting staff.
Key Responsibilities -Managing front-office operations including phone calls, emails, and client enquiries -Strong interpersonal skills and ability to engage positively with clients and team members -Scheduling appointments and coordinating meetings for directors and accountants -Maintaining client records, files, and documentation (physical and electronic) -Assisting with onboarding of new clients and maintaining compliance documentation -Preparing engagement letters, invoices, and follow-up on outstanding payments -Handling IRD, Companies Office, and other regulatory correspondence -Supporting accountants with administrative tasks related to tax returns, financial statements, and audits -Managing office supplies, stationery, and general office upkeep -Assisting with basic bookkeeping, data entry, and document processing as required
Qualifications: -Tertiary NZ qualification in Accounting / Management
Skills & experience: -Previous experience in an administrative role (experience in an CA firm preferred) -Strong organisational and time-management skills -Excellent written and verbal communication skills -Proficiency in Microsoft Office (Word, Excel, Outlook) -Ability to handle confidential information with discretion -Familiarity with Xero, MYOB, or similar systems -Knowledge of IRD and Companies Office processes
