Ascend Accounting & Advisory | Hawke’s Bay Part-time | 20 - 25 hours per week

Ascend Accounting & Advisory is looking for a highly organised and people-focused Client Services Manager to join our team on a 10-month maternity cover contract.

This role is ideal for someone who loves client interaction, thrives on administration and process, and enjoys supporting a professional services team to deliver a great client experience.

About the role

As our Client Services Manager, you’ll be the friendly first point of contact for clients and play a key role in keeping the practice running smoothly. You’ll provide PA and administration support to our senior team while managing client communications, onboarding, compliance processes, and practice administration.

Key responsibilities

Client relationship management

  • Meet and greet clients (in person, phone and email) in a professional and welcoming manner
  • Proactively manage client communications and correspondence
  • Draft and send client emails including tax notices, financial statements and returns
  • Follow up clients to ensure documents are signed and returned on time
  • Compliance & engagement support
  • Manage client onboarding and engagement letters
  • Set up and manage client profiles and jobs in Practice Manager
  • Companies Office Management on behalf of clients
  • Ensure all delegated tasks are completed accurately and on time
  • Possibility to take on GST return preparation depending on applicant experience

Practice administration

  • Manage the practice Xero ledger, invoicing and aged debtors
  • Practice accounts payable management
  • Complete payroll for the practice
  • Coordinate meeting scheduling and preparation
  • Support facilitators to ensure proposals and meeting minutes are delivered within required timeframes
  • General office administration and resource management

Marketing & events

  • Assist with organising client seminars and webinars
  • Manage client communications such as tax updates and newsletters

About you

You must be passionate about what the firm does, as well as having excellent interpersonal and strong communication skills. In addition you'll have:

  • Strong administration and organisational skills
  • Excellent written and verbal communication
  • Confidence dealing with clients and managing multiple priorities
  • Experience in a professional services environment (accounting & Xero experience is a bonus, but not essential)
  • A proactive, detail-focused and friendly approach

Hours & flexibility

  • 20-25 hours per week, flexible across Monday to Friday
  • 10-month fixed-term maternity cover
