Description

Based on the Waikato Hospital Campus, the Breast Cancer Research Trust is a small dedicated team committed to making a difference for those diagnosed with breast cancer through clinical trials, research, and the Te Rēhita Mate Ūtaetae Breast Cancer Foundation National Register.

About the role: As the Administration Coordinator, you will lead and/or liaise with others to manage all aspects of administration. Working as part of a team of six, you will collaborate with key stakeholders including the Breast Cancer Research Trust (BCRT) team, Health NZ Waikato District, BCRT sponsors and supporters, and the BCRT Trustees.

This is a part-time position (20–25 hours per week), worked across three to four days, Monday to Friday.

Key responsibilities:

Your responsibilities will include, but are not limited to:

  • Banking, payment of invoices, invoicing in line with trial or event contracts, and monthly financial reporting including coding of accounts in MYOB
  • Supporting the Operations Manager with finance tasks such as invoice payments and receipting
  • Administrative support for BCRT fundraising activities, database maintenance, and volunteer coordination
  • Executive support for Trustees, including the BCRT Chair and the Trustee who is Clinical Director, Breast Services, Waikato Hospital
  • Human resource administration including documentation for new staff, leave records, and coordination of performance appraisal timelines
  • Coordinating meetings and taking minutes

About you: We are looking for an organised, motivated individual who can multitask, prioritise effectively, and manage time well in an environment where a variety of skills are required. Strong communication skills and teamwork are essential, along with an understanding of privacy and confidentiality requirements. To succeed in this role you will be able to demonstrate the following:

  • 2+ years experience in an administrative & accounts position
  • Experience working for a charity and/or in governance
  • Excellent organisational skills with strong attention to detail
  • Familiarity with MYOB, Xero or similar accounting software (we are currently transitioning from MYOB to Xero)
  • Proficiency in Microsoft Word and Excel, with strong typing and data entry skills
