The Role As a Project/Account Coordinator within the 1st Maintenance team, you will support the coordination of HVAC service and project activities, ensuring client requests are delivered efficiently, professionally, and in line with contractual and financial expectations. You will work closely with technicians, subcontractors, clients, and internal stakeholders to keep work on track and customers informed.
Your responsibilities include, but are not limited to:
- Receiving and actioning service requests and client enquiries
- Creating, scheduling, tracking, and closing service and project jobs
- Coordinating technicians and subcontractors to meet delivery timeframes
- Liaising with clients to provide updates and maintain strong relationships
- Assisting with project delivery, documentation, and administrative support
- Supporting estimating, procurement, and job costing activities
- Raising purchase orders, assisting with invoicing, and tracking profitability
- Maintaining accurate records while supporting compliance and health & safety requirements
About You To be successful in this role, you will bring strong coordination skills, attention to detail, and a customer-focused mindset, along with the ability to manage multiple priorities in a dynamic environment.
- Experience in a coordination, administration, or support role (ideally within services, trades, or facilities)
- Strong organisational skills with the ability to manage competing deadlines
- Confident communicator with the ability to liaise professionally with clients and technicians
- Financial and administrative capability, including invoicing or purchase order support
- High level of accuracy and attention to detail
- Proactive, adaptable, and solution-focused approach to work
- Commitment to quality, compliance, and health & safety standards
