About the Role
As an Administrator, you will play a vital role in supporting patient access to healthcare services by coordinating bookings for outpatient and inpatient services in accordance with Health New Zealand and Ministry of Health (MoH) guidelines.
This position directly contributes to achieving national health targets and works under the guidance of the Team Leader, Service Manager, and Clinical Director or Triaging Clinician.

Your responsibilities include:
- Scheduling and managing patient bookings across multiple services
- Maintaining accurate data and documentation in the Patient Management System (SI PICS) and other clinical systems
- Monitoring waitlists, bookings, and throughput to ensure compliance with MoH and service standards
- Identifying and addressing patient flow constraints in partnership with service leadership
- Conducting and actioning regular DNA (Did Not Attend) audits
Key Responsibilities
Customer Service Excellence
- Maintain a genuine focus on providing respectful, empathetic, and professional service
- Proactively assist patients, clinicians, and colleagues
- Ensure patient confidentiality and privacy are always upheld
Front of House Duties
- Deliver excellent front-line service to patients and visitors
- Update patient demographic information as required
- Refer unwell or at-risk patients immediately to nursing staff
Patient Management System Administrative Standards
- Adhere to Health New Zealand/MoH booking guidelines and standards
- Enter all data accurately, completely, and in a timely manner
- Communicate clearly with patients about booking details
- Seek clinical guidance where appropriate
- Maintain efficient clinic and surgical list utilisation, minimising cancellations
Wait List Management
- Manage surgical and system wait lists in line with agreed service priorities
- Ensure alignment with 'greatest need/longest wait' principles
- Work collaboratively with clinical and service management to uphold patient care standards

Essential Qualifications Experience
- Excellent customer service and communication skills
- Strong technical ability; quick to adapt to new systems and applications
- Excellent organisational, time management, and problem-solving skills
- High accuracy and attention to detail
- Ability to meet deadlines and work independently
- Intermediate to advanced Microsoft Office (Word, Outlook, Excel) skills
- Fast and accurate keyboard skills (50'70 wpm)
- Proven experience working collaboratively within a team setting
Desirable
- Administrative experience in a healthcare setting
- Knowledge of medical terminology
- Familiarity with public hospital systems (including SI PICS)
- Awareness and respect for cultural diversity
