We're looking for a skilled Transcriptionist to join our team and play a vital role in supporting clinical services across Health NZ Waitaha Canterbury.
This role is essential to ensuring clinical correspondence is completed accurately, efficiently, and within agreed timeframes so patients, clinicians, and services stay well connected.
About the Role
As a Transcriptionist, you will be responsible for managing the full transcription process - from dictation through to the distribution of authorised clinical letters - while working to Health NZ Waitaha Canterbury standards and targets. You will work closely with service leaders, managers, and clinical staff to ensure patient information is processed accurately and promptly.
You may also support appointment booking and administrative tasks to ensure patients receive treatment within Health NZ and Ministry of Health guidelines.

Key responsibilities include:
- Managing transcription work based on 'greatest need, longest wait' principles
- Completing dictated clinical letters within set timeframes (typically 3'5 working days)
- Ensuring all written correspondence is accurate, professional, and completed to a high standard
- Processing and distributing clinician-signed letters within one working day
- Accurately entering data into patient management systems in a timely manner
- Responding promptly and appropriately to enquiries from staff, GPs, external agencies, and the public
- Maintaining effective working relationships across services and sites
- Supporting additional administrative or service tasks as workload requires
- Contributing to a supportive, high-functioning team environment
- Actively participating in quality improvement activities
- Maintaining confidentiality and professional communication at all times
- Following all Health Safety policies to ensure a safe working environment
About You
You are organised, focused, and thrive in a role where accuracy and efficiency matter. You are comfortable working independently, meeting deadlines, and learning new systems quickly.
Essential skills and experience:
- Excellent customer service skills with a people-focused approach
- Typing speed of 50'70 words per minute
- High level of written and verbal communication skills
- Intermediate Microsoft Office skills (Word, Outlook)
- Strong attention to detail and commitment to accuracy
- Technically confident and quick to learn new systems
- Excellent time management, organisational, and problem-solving skills
- Ability to work unsupervised and meet deadlines
- A collaborative team player
Desirable:
- Knowledge of medical terminology
- Administrative experience in a healthcare environment
- Familiarity with public hospital systems and patient management systems
- Awareness and respect for people from diverse cultural backgrounds
