The Role in a Nutshell
We aren't looking for a typical "desk jockey." In the firewood business, the pace changes with the seasons, and we need a versatile Office Administrator who can keep the paperwork organised while managing the organised chaos of a busy yard. This is a steel-cap boot environment where high heels and fancy clothes don't cut the mustard. One minute you'll be invoicing clients; the next, you'll be the face of the company helping a customer choose the right wood for their wood burner or coordinating trucks for delivery to ensure our "loads" get where they need to go.
Key Responsibilities
Office & Financial Administration:
- Manage daily invoicing, accounts receivable, and basic bookkeeping.
- Maintain accurate customer databases and filing systems.
- Handle incoming emails and general business correspondence.
Customer Service Excellence:
- Act as the first point of contact for phone-in, online, and walk-in customers.
- Provide advice on wood types (e.g., Pine vs. Gum/Manuka), moisture content, and burning efficiency.
- Process payments and handle post-delivery feedback or concerns.
Logistics & Load Coordination:
- Schedule Deliveries: Map out efficient routes for drivers to maximize daily deliveries.
- Inventory Tracking: Monitor woodpile levels and coordinate with the yard team to ensure stock is seasoned and ready for dispatch.
- Load Management: Ensure the right volume (cubic metres) is assigned to the right truck for the right customer.
What We're Looking For:
- The "Juggler" Mentality: You can switch from a detailed spreadsheet to a ringing phone without losing your cool.
- Local Geography Knowledge: You should have a good grasp of the local area to help plan delivery routes effectively.
- Tech Savvy: Proficiency in MS Office and experience with MYOB and POS
- Physical Resilience: While there are some office-based tasks, you aren't afraid to step into the yard to check a load, chat with a driver or serve customers which includes operating basic machinery and help with the bagging of firewood and kindling.
- Communication: You can talk shop with the yard crew and provide excellent customer service.
Qualifications & Experience:
- Experience: confident in office administration, retail management, or logistics.
- Industry Knowledge: Previous experience in customer service, firewood, or agricultural sectors is a plus, but we are happy to train someone with the right attitude.
- License: A valid driver's license is required.
