Tupu Ana Masterton is seeking a highly organised and detail-oriented Part-Time Administrator to lead our dynamic Business Association. This position plays a pivotal role in supporting the efficient functioning of the Association by coordinating administrative tasks, managing communications, working closely with Business Wairarapa (Wairarapa Chamber of Commerce Inc) and fostering positive member engagement.

Key Responsibilities:

Member Communications:

  • Serve as the primary point of contact for members.
  • Manage communication channels to ensure timely and relevant updates.

Database Management:

  • Administer and maintain the Tupu Ana member database.
  • Ensure the database is up-to-date and accurate.

Newsletter and Media Management:

  • Manage the distribution of newsletters to members.
  • Establish and oversee the association's website and social media presence.
  • Create engaging content for newsletters and online platforms.

Event Management:

  • Assist in the organization of member socials, Business after 5s (BA5s), and networking events.
  • Being the Key Host for Tupu Ana at our events

Meeting Coordination:

  • Schedule and coordinate committee meetings.
  • Prepare comprehensive agendas for committee meetings.
  • Record accurate meeting minutes and distribute them to relevant stakeholders.

Financial Administration:

  • Manage Xero accounting software.
  • Oversee annual billings and payments.
  • Conduct reconciliations to ensure financial accuracy.

Other:

  • Maintaining responsibility of actions with external stakeholder to ensure the smooth running and legislative requirements of the Business Association i.e. Incorporated Society Register, IRD etc.

Qualifications:

  • Previous experience in administrative roles.
  • Proficiency in using Xero or similar accounting software.
  • HubSpot experience a bonus
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Familiarity with event planning and coordination.

Time Commitment & Remuneration:

  • Up to 25 hours per month contracted.
  • Hourly rate to be negotiated
