Description
This role supports end-to-end file administration, document preparation, client communication, and compliance processes to ensure client matters progress efficiently and accurately.
Key Responsibilities
- Client Service & Communication ● Act as a first point of contact for clients via phone, email, and in-person/online meetings. ● Gather initial client information and supporting documentation, and assist with onboarding. ● Coordinate appointments, interpreter support (if required), and follow-ups. ● Provide clear updates to clients under direction of the Director / Licensed Immigration Adviser
- File Administration & Coordination ● Open and maintain client files, ensuring accurate record-keeping and version control. ● Manage workflows, deadlines, and reminders for visa submissions, RFIs, medicals, and other time-sensitive tasks. ● Coordinate document requests and ensure evidence is received, saved, and labelled correctly. ● Prepare file notes, call notes, and meeting summaries for the Director/Licensed Immigration Adviser
- Document Preparation & Drafting Support ● Assist with collating and formatting supporting documents (e.g., checklists, declarations, client statements) under supervision. ● Compile and divide application, ensuring completeness and consistency. ● Review and check documents for accuracy (names, dates, passport details, financial figures, forms consistency) and flag issues for correction. ● Assist with translating or explaining requirements to clients (where applicable).
- Compliance & Quality Control ● Support adherence to internal processes, confidentiality obligations, and professional standards. ● Ensure client consents, authority forms, engagement documents, and required identity checks are completed. ● Maintain secure handling of personal information and sensitive documents. ● Assist with audits/spot checks of files and ensure all documentation is stored correctly.
- General Office & Director Support ● Manage calendars, meetings, and task allocation between the Director and advising team. ● Assist with invoicing support, receipt collection, and basic administrative tasks (as required). ● Maintain office templates, document libraries, and file management systems.
Key Skills & Attributes ● Strong attention to detail and high accuracy with documents and data. ● Excellent written and verbal communication skills. ● Strong organisation skills and ability to manage multiple deadlines. ● Professional, discreet, and client-focused manner. ● Ability to follow instructions and work collaboratively with the Director/Licensed Immigration Adviser ● Confident using Microsoft Office / Google Workspace and document management tools. ● Comfortable in working with different communitiy groups and nationalities.
Candidate Requirements ● Relevant qualification in legal practice - Level 7 or above ● Or at least 3 years work experience in an immigration, legal or professional services ● Understanding of NZ immigration file processes and evidence requirements (advantageous). ● Ability to work in a fast-paced environment with changing priorities. ● Multilingual ability in Korean, Chinese, or Vietnamese (spoken and written) will be advantageous. ● Must have legal work rights in New Zealand. ● Minimum 30 hours per week
