Description
The Office Manager / EA provides administrative, operational and executive support across APS Civil. This role ensures the office functions effectively, documentation is accurate, crews are supported, and leadership has the coordination required to deliver projects efficiently.
Hours and remuneration are negotiable - this could be a part time role which could develop into full time.
Office & Executive Support
- Manage all office operations
- Provide EA support to the GM and Operations Manager
- Prepare documents, schedules and external communications
- Maintain structured information flow across the business
Accounts & Administration
- Process AP/AR
- Administer timesheets & payroll inputs
- Manage POs, suppliers & reconciliations
- Maintain tidy, accurate digital and physical records
HSEQ & Training Coordination
- Maintain training, licence & induction records
- Support H&S documentation and compliance
- Assist staff with learning APS systems & Civil Hub apps
- Prepare documents for audits and client reviews
Operations Support
- Prepare job packs, site books & project documentation
- Ensure crews have PPE, supplies and job information
- Support daily planning, logistics and dispatch,
- Assist with organising plant, equipment & materials
Digital Systems & Document Control
- Maintain APS Civil Hub and cloud storage
- Upload QA documents, reports and project evidence
- Keep all digital records accurate and audit-ready
Communications & Media
- Capture site photos and updates
- Support APS social media posts
- Maintain website content
- Assist internal communication
Site Engagement
- Periodically visit project sites
- Build relationships with crews
