About the Role

This is the heartbeat of our operation. You're the person who makes sure every lead gets a call back, every job gets booked, every crew member knows where they're going, and every client feels looked after.

You'll be the first voice our customers hear and the reason our crews show up to the right place at the right time.

No two days are the same. You'll be juggling urgent jobs, rescheduling when things change, and keeping everything moving, all while staying calm and professional on the phone.

What You'll Do

  • Answer inbound calls and enquiries and book jobs on the spot
  • Return missed calls and web leads fast (within 5 minutes for urgent jobs)
  • Schedule and dispatch crews across Auckland daily
  • Handle reschedules and "we can't make it" calls with professionalism - always rebook
  • Keep our job management system updated in real time
  • Coordinate with crew leads on job status, ETAs, and completions
  • Triage jobs by urgency - emergencies get crews, projects get quotes
  • Chase outstanding bookings and follow up on quotes
  • Liaise with our operations manager to make sure the right staff are on the right job

What We're Looking For

  • Fast, confident phone manner - you can think on your feet and handle pressure
  • Highly organised - you can manage 20 moving pieces without dropping one
  • Experience in a scheduling, dispatch, or customer service coordination role (trades, logistics, or similar industry is a big plus)
  • Good with computers and happy to learn new systems
  • Calm under pressure - when things go sideways, you sort it, not stress it
  • A genuine team player who takes pride in making the operation run smoothly
