An exciting opportunity has recently become available for a receptionist/ Administration Support at our office in Auckland. We are looking for an organized, mature-minded person who thrives on new challenges, new interactions, and new opportunities!
You must be flexible and efficient, with outstanding attention to detail and a strong drive to lead and succeed. You must be dynamic, hardworking, and able to hit the ground running and take charge of operations with minimal support.
This is a full-time permanent position for a minimum of 30 hours a week. The salary for this role ranges between $25 to $30 an hour.
The Job Duties include but are not limited to:
- Warmly greet clients and offering an exceptional guest experience
- Book and confirm appointments accurately via phone and email
- Update client records/files with contact and billing details, appointments and services offered
- Entering data and keeping records accurate and up to date
- Answer phone and email inquiries quickly and efficiently. Offer every guest a great customer service experience.
- Be able to handle customer complaints with grace & take necessary actions to escalate
- Filing, scanning, and managing documents
- Assisting Licensed Immigration Advisers working for Immigration Star with everyday admin tasks
- Perform admin tasks and report to directors on a daily basis
- Ensuring high standards of presentation and compliance
- Identify areas of improvement through monitoring comments and guest feedback
- Responding to inquiries on Facebook, WhatsApp & text message
- May perform other clerical tasks such as word processing, data entry, filing, mail despatch, and photocopying
- Maintaining the reception area
- Answering, connecting and transferring telephone calls
- Lending a hand to LIAs and the wider team when needed
The ideal applicant should have:
- NZ Register Level 2 OR at least one year of relevant experience may substitute for the formal qualifications
- Outstanding phone manner, fantastic customer-facing skills, and a high level of personal presentation
- Good communication skills.
- Well-developed people skills with an ability to effectively communicate, prioritise and problem-solve.
- Excellent organisational and administrative skills are essential
- Enjoy working with people and a natural desire to offer good service
- Be organized and accurate
- The job is busy, varied and challenging but extremely rewarding and interesting for someone with the right personality.
- Candidate with good Communication skills in English, Punjabi and Hindi will be preferred as most of our clients are Indian and they prefer to communicate in Hindi or Punjabi.
Candidates having experience working in the same business environment will be preferred.
