Onsite Services Napier Administrative Assistant Location: 54 Thames Street, Pandora, Napier Hours: Monday – Friday, 8:00 AM – 5:00 PM Full time permanent position

About us: Onsite Services Napier is a well setup productive workshop in the automotive industry, specialising in all makes and models of vehicles, AA backed and an approved Ironman 4x4 dealer and installer. The Role: As our Administrative Assistant, you will be the face of the business and the first point of contact for our customers. You’ll play a key role in creating a welcoming, professional environment while ensuring the smooth day-to-day running of our front-of-house operations. This is a varied position that blends excellent customer service with vital administrative support for our team of qualified automotive technicians. From greeting customers and handling enquiries to coordinating bookings and managing office tasks, you’ll help keep everything running efficiently and ensure a positive experience for every client.

Key Responsibilities: Customer Service: Greeting customers / visitors, taking phone and email enquiries, coordinating vehicle bookings, managing the workshop booking schedule, courtesy vehicle bookings and vehicle drop offs & pick-ups

Administration: Provide support and assistance to the workshop team (accurate estimates and follow ups, procuring parts, processing invoices and warranty & insurance claims

Operations Support: Communicating between the workshop team and our customers to provide progress updates and follow ups on vehicle repairs. Maintaining a clean and tidy reception area.

What we’re looking for:

  • Certificate in Business Administration and Technology Level 3 or higher but not limited to
  • Experience in Business Administration or the Automotive Industry is a bonus
  • Exceptional Communication and passionate Customer Service Skills with the ability to explain technical details clearly and in a professional manner
  • Excellent computer literacy and accurate data entry (Microsoft Office products and database systems)
  • Efficient and organised individual with the ability to multitask duties within a workshop environment
  • Collaborative Problem-Solver who is reliable, punctual, professional, and has a strong attention to detail and willing to learn.
  • A current Full New Zealand Drivers License to assist with vehicle movements, customer service and orders.
  • NZ Citizen or Residents only.
