About the Role:
As a Project Coordinator, youll provide day-to-day coordination and administration support across the full project lifecycle. Youll work closely with Project Managers, finance, fleet, and external client representatives to ensure seamless processes in support of meeting both client and Northpower expectations.
Youll be a key point of support for purchasing, forecasting, invoicing, reporting, and general project administration, helping ensure projects are delivered efficiently and professionally.
Role Responsibilities:
- Creating and managing purchase orders (including Capex POs) and completing goods receipting
- Coordinating project forecasting templates and reports to meet client requirements around cashflow
- Preparing customer project billing reports for client pre-approval within agreed timeframes
- Preparing invoice requests and responding to billing queries from the accounts receivable team
- Supporting full project lifecycle administration, including project closure and JDE status updates
- Managing CMS records, work pack files, archiving, and document control
- Coordinating material reservations reporting and providing updates to key clients
- Scheduling vehicle servicing and managing fleet compliance administration
- Coordinating driver fines and non-compliance matters with the fleet team
- Managing major plant and equipment bookings (winches, trailers, etc.)
- Ordering, issuing, and tracking tools in line with agreed processes
- Printing transformer and switchgear labelling as required
- Supporting Project Managers with Single Line Diagrams (SLDs) for installed equipment (training provided)
- Tracking and following up customer complaints and enquiries to support Customer Care
- Assisting with expense claims and providing wider team support
- Completing general ad hoc administration tasks as required
Experience:
- 5+ years proven experience in financial administration or project coordination roles, ideally within a utilities, infrastructure, or construction background
- Strong financial acumen and attention to detail with a proactive, solutions-focused mindset to recommend and lead process improvements
- Excellent written and verbal communication skills and the ability to work with a wide range of people across the business and our stakeholders/customers
- Strong organisational skills with the ability to manage multiple priorities
- Confidence working across multiple systems
- A team-oriented approach and pro-active attitude towards supporting others
