About the Role
We are seeking a highly organised and professional Administrator / Executive Support team member to assist the Board and Chief Operating Officer (COO) while contributing to the smooth functioning of the organisation. This is a senior administrative role that goes beyond basic administration. You will coordinate governance processes, support executive leadership, assist with HR administration, and ensure operational functions run efficiently.
Key Responsibilities:
- Governance & Board Support
- Coordinate Board and committee schedules and annual cycles
- Prepare, format, and distribute Board papers
- Attend meetings (as required) and produce accurate minutes
- Maintain action registers and track follow-ups
- Ensure governance documentation is organised and up to date
- Support continuous improvement of governance processes
- HR Coordination
- Coordinate recruitment processes (advertising, interviews, onboarding)
- Prepare employment agreements and documentation
- Maintain employee records and ensure compliance
- Support staff induction processes
- Provide general HR administrative support
- Executive Support
- Manage COO diary, meetings, and priorities
- Prepare correspondence, reports, and presentations
- Assist with tracking organisational initiatives
- Support coordination across leadership and operational teams
About You
Skills & Experience:
- Proven experience in administration, coordination or executive support
- Exceptional organisational and time management skills
- Strong attention to detail and accuracy
- Excellent written communication, including minute-taking
- Ability to manage competing priorities and deadlines
- Healthcare or primary care experience (advantageous)
